01. Scope

This policy covers email sent and received through Triopia, including connected mailboxes (for example, Gmail) and email drafted, summarized, or replied to using the assistant.

02. Connecting an email account

You can connect a third-party email account to your workspace using OAuth. We request only the access we need (read, send, label, and similar) to deliver the features in your subscription tier.

03. No password storage

We use OAuth tokens to connect to providers such as Google. We do not store the password to your email account. You can revoke access from your provider or from Triopia settings at any time.

04. Encryption in transit

Traffic between your device, Triopia, and your email provider is encrypted using TLS over HTTPS. Email between providers traverses SMTP servers and follows the encryption that those servers negotiate, which is outside our control.

05. What we store

We store the email messages, threads, and metadata that you bring into Triopia so the inbox, search, and assistant features can work. This content is part of your workspace.

06. Drafts and review

When the assistant prepares a reply, summary, or briefing, it produces a draft inside the workspace. You review, edit, and send drafts yourself. The assistant does not send outbound email without your action.

07. No model training on your email

When you use assistant features, the relevant context is sent to a model provider for inference only. We do not train AI models on your email.

08. Compliance with email laws

You are responsible for following the email laws that apply to your messages and recipients, including the CAN-SPAM Act (US), CASL (Canada), the GDPR and ePrivacy rules (EU/UK), and similar laws in other jurisdictions.

09. Identification and opt-out

Marketing or commercial email you send through Triopia must accurately identify you, include a valid physical address where required by law, and provide a working unsubscribe mechanism that you honor.

10. No spam or bulk unsolicited email

Do not use Triopia, including the assistant, to send unsolicited bulk email. Triopia is a workspace for professional communication, not a mass-mail platform.

11. No phishing or impersonation

Do not send email designed to deceive recipients into revealing credentials, payment information, or other sensitive data, or to impersonate other people, businesses, or government bodies.

12. Attachments

You are responsible for the attachments you send. Do not distribute malware or other harmful files. We may scan attachments for known threats but do not guarantee detection of every issue.

13. Provider rules

Connected providers (for example, Gmail) have their own rules, quotas, and policies. Exceeding their rate limits or violating their terms can lead to your account being throttled or restricted by the provider.

14. Delivery is not guaranteed

We do not control downstream mail servers, spam filters, or recipient inboxes. Triopia does not guarantee that any specific email will be delivered or that it will avoid the spam folder.

15. Revoking access

You can disconnect a connected mailbox at any time from settings. After disconnection, Triopia will stop syncing new messages from that mailbox. Existing imported content remains in the workspace unless you delete it.

16. You are responsible for what you send

You are responsible for the content of every email sent from your workspace and for any consequences of sending it.

17. Suspension

We may rate-limit or suspend email features for a workspace if we observe patterns that violate these standards or applicable law, or that put the platform or other users at risk.

18. Updates

These standards may be updated as email providers change their rules and as the email landscape evolves. Material updates will be communicated inside the product or by email.
